Many customers decide in seconds whether to leave a message. A clear greeting reassures them, and a clear message you leave for them makes them more likely to call back.

Greeting script for a business line

'Hello, you have reached [Business name]. We are sorry we missed your call. Please leave your name, number and a short message, and we will call you back within [time]. Thank you.'

After-hours greeting

'Thank you for calling [Business name]. Our hours are [days and times]. Please leave a message, and we will return your call on the next working day.'

Personal user greeting

'This is [Name] at [Business name]. I cannot take your call right now. Please leave a message and I will call you back by [time].'

Greeting tips

  • Keep it under 20 seconds.
  • Speak slowly and smile.
  • Do not read out your whole menu of services.
  • Update it for holidays and changes.

Voicemail message scripts when you call out

  1. First attempt: 'Hello [Name], it is [Rep] from [Business]. I am calling about [reason]. Please call me back on [number]. Thank you.'
  2. Second attempt: 'Hello [Name], [Rep] again from [Business]. I tried you earlier about [reason]. I will try again [day], or you can reach me on [number].'
  3. Final attempt: 'Hello [Name], [Rep] from [Business]. I do not want to bother you. If [topic] is a priority, call me on [number]. Otherwise I wish you all the best.'

Message tips

  • Say your number slowly, twice.
  • Give one reason to call back.
  • Never leave a long sales pitch.
  • Log each voicemail and set a follow-up.

Dialsyx includes voicemail where it is available and keeps a record of every call outcome. See voicemail docs and our follow-up system.

Do and do not

DoDo not
Say your name and company clearlyMumble or rush
Give a callback timeSay "call me back sometime"
Repeat your number slowlyRead the number once, fast
Keep it friendlySound annoyed that they missed you

Voicemail for different situations

  • After a missed appointment: be kind and offer to rebook.
  • After a quote: ask if they have questions and offer a time to talk.
  • For a client waiting on news: give a short update and a time for the next one.
  • For a new lead: mention how they contacted you.

Review your greeting every quarter and after any change in hours, staff or services. A greeting that says 'we are closed for the holidays' in March tells customers nobody is looking after the phone.
