A well-written text can book an appointment in seconds. A poorly written one is ignored or reported. These templates are a starting point. Change the words so they sound like you, and only send them to people who have agreed to receive texts. See our guide to opt-in consent.

Appointment and reminder templates

  1. 'Hi [Name], this is [Business]. A reminder of your appointment on [day] at [time]. Reply C to confirm or call us to change it.'
  2. 'Hi [Name], we have you booked for tomorrow at [time]. See you then! Reply STOP to opt out.'
  3. 'Hi [Name], we missed you today. Would you like to rebook? Reply with a day that suits you.'

Sales follow-up templates

  1. 'Hi [Name], it is [Rep] from [Business]. Thanks for your enquiry. When is a good time for a quick call?'
  2. 'Hi [Name], I sent your quote by email. Do you have any questions? Happy to talk it through.'
  3. 'Hi [Name], just checking in about [topic]. Is now still a good time to talk? Reply STOP to opt out.'

Order and service templates

  1. 'Hi [Name], your order [number] is on its way and should arrive on [date].'
  2. 'Hi [Name], your service visit is booked for [day] between [time] and [time]. Reply if you need to change it.'

Support templates

  1. 'Hi [Name], this is [Business] support. We have an update on your request. Can we call you today?'
  2. 'Thanks for contacting us. We have received your message and will reply within [time].'

Thank-you and feedback templates

  1. 'Thanks for choosing [Business], [Name]! If you have a minute, we would love your feedback: [link].'
  2. 'Hi [Name], thank you for your payment. Your receipt is on its way by email.'

Rules for every template

  • Say who you are in the first line.
  • Keep it under two short sentences where you can.
  • Add an opt-out for marketing-style messages.
  • Never send texts at night.
  • Reply fast when someone answers.

SMS is available on the Dialsyx USA and Canada plan after registration. See SMS texting and the pricing.

How to write your own

  1. Start with your business name.
  2. Say why you are texting in one line.
  3. Give one clear next step, such as a time or a link.
  4. End with an opt-out for marketing-style messages.

Timing and frequency

  • Send reminders the day before and again on the morning if needed.
  • Follow up a quote after two or three days.
  • Do not send more than a few messages a week unless the customer asked for updates.
  • Never text late at night or very early in the morning.

What to measure

Track reply rate, opt-out rate and appointments kept. If many people opt out, your messages are too frequent or not relevant. If few reply, simplify the message and give a clearer next step.
